Service - Diversity Analytics

To benefit from our workforce diversity analytics, Companies will have to contact us to have an initial consultation meeting, wherein the scope, market, type of data, analysis and pricing will be agreed upon. In this case, a representative of TEXpert AI will design the survey and send the link to a representative of the Company, the latter will send the survey invitation to its participants, who could be employees, founders, customers, or other beneficiaries of the Company’s service. TEXpert AI runs surveys and collects sensitive data on demographics, inclusion, and socio-economic background indexes amongst others in an anonymised and non-personally identifiable manner. All survey responses and data uploaded are collected, stored, processed, and shared in an anonymised and non-personally identifiable manner. Information that is collected in anonymised, non-personally identifiable and unattributable does not fall under the remit of UK GDPR, however, we have designed a robust process to offer protection to the participants’ data.

We adopt an internal process called “Lock and Key” to keep information private and non-personally identifiable at all times, whereby the Company holds the identifiable part of the information, such as e-mail address (‘Lock”) and TEXpert AI holds the underlying survey responses (‘Key’). Neither the Company nor TEXpert AI shall have access to both the “Lock” and the “Key” and be able to link these two pieces of information in an identifiable or non-aggregated form.

Data Collection

We may use third-party survey providers such as Typeform in our data collection process and we apply their terms and conditions and cookie policy wherever it’s applicable to us. Our surveys are completely anonymous, we will never ask participants in the Company to provide Personal Data, employee ID, e-mail address, IP address, or anything else identifiable to the survey participants alongside sensitive information. The Company will send out the survey links provided by us as we will not have to access the e-mail addresses of participants and the responses will be received and recorded by us. Participation and sharing of sensitive information during the survey is completely voluntary and the design of our surveys allows participants to exercise their right not to share their sensitive information.

Data Storage

TEXpert AI is the data exporter from third-party survey providers. The survey responses will be exported and stored in secure and segregated cloud instances on Amazon Web Services in the UK- London geographical region, maintained by TEXpert AI for each Company.

Data Processing

TEXpert AI will analyse the survey responses and produce metrics such as workforce composition, performance-linked metrics, distributions of benefits, promotion, investments, comparisons, benchmarking, and any other reasonable request from the Company. We will suggest and take suggestions from the Company on the type of analysis required including special analysis for inter-sectionalities and inclusion.

Data Sharing

Any previously collected data that the Company wishes to share with us for further analytics should equally be anonymised and non-personally identifiable. The results of the analysis and metrics will be shared with the Company via the Company’s e-mail or directly through their access to our Software. We will not report on analysis that is too granular that it becomes personally identifiable. To mitigate this. We implement a “Reporting Group Minimum”  limited to 10 participants. For example, if a participant belongs to a demographic that does not meet the “Reporting Group Minimum”, the results will not be shared but will be part of the aggregate score, this restriction will be applied on our interactive dashboards whereby further filtering will be restricted.

Data Integrity

Companies may choose to compare our analysis with their previous ones to ensure that the analysis is consistent.

Service - AI-powered Candidate Matching Service

To benefit from our candidate matching and shortlisting Services, Companies will have to submit information about themselves such as a name, work e-mail, URL, the country in which they are recruiting. After which we will set up an introductory meeting and request for access to their job applicants database or applicant tracking system. Our algorithm will search through the companies’ databases and propose shortlists.  Our matches will be based on information about the role such as but not limited to; experience required, tech stacks, skills, remuneration, and other requirements that relate to the job or company.

To benefit from our workforce diversity analytics, Companies will have to contact us and we will ensure that all the information security requirements are met before we start using their workforce data.

We are promoters of diversity and we remove biases from the recruitment process, we would appreciate that Job Descriptions reflect the same, however, in the event that a Company already has its own diversity metrics and goals in place and would like to find Candidates from a specific background or trait from their databases, we can support this after having a discussion with the Company to understand the underlying reason and have proper justifications in place such that the boundaries of Positive Action in Equality Act 2010 are met. Information submitted on our Software will be subject to an approval process, after which we will start matching Candidates with the Job Description. We reserve all rights to edit or remove content and cancel accounts at our sole discretion.

We will provide you with shortlists of Candidates if we can find the right matches for your Job Description. You accept and agree that we give no warranty as to the suitability of any Candidate for any vacancy and that you are responsible for ultimately determining the suitability of any Candidate and their eligibility to work in the capacity required.

By signing or clicking "agree" to these terms of service you are agreeing to enter into a contract with us on the terms set out above. The contracting entity from your side shall be the entity you provide details for during the sign-up process.
